Event Planning

Use the flowchart to help you plan your event, manage event logistics, and evaluate your event.

Pre-Event Planning

Determine the purpose of the event.  The event should further your organization's goals.  Defining a purpose will help you decide what type of events are suitable.

Know your target audience.  The event should fill a specific need or explore an interest of your target audience.

Evaluate your available resources.  A successful event requires people, time, and money.  Your available resources will determine whether your group can sucessfully produce the event.

 

Planning Questions

When planning an event, try to first answer the following questions:

  • What is the purpose of the event?
  • What are the specific goals of the event?
  • Who is the target audience?
  • Does your group have adequate resources to produce and hold an event?
  • How will you publicize the event?
  • Are there speakers or performers available that would generate interest in the event?
  • What locations are suitable for the event?
  • How much will it cost to produce the event?

 Event Planning Guides

Specific Event Guides:

 Selecting a Facility

When selecting a facility for your event, try to visualize the event and record your specific needs.  Consider the following:

SIZE: Can the facility handle the number of expected guests without posing a safety risk?

LOCATION: Is the facility appropriate for your event type?  What impact will your event have on your surroundings?  Is the facility accessible to disabled persons?

AMENITIES: Will you need chairs or an auditorium with installed seating?  Will you need electrical outlets?  Are there bathroom facilities nearby?

EQUIPMENT: Will you need audio and/or video equipment?  Will you need extension cords?

DATE: Have you given your group enough time to plan the event?  Are there other events scheduled for the same date that may affect your event?

LAYOUT: Where will large objects such as tables go?  How much time will it take to decorate and prepare the facility for your event?

Event Budgeting

Your organization's available funds will determine what types of events you can hold.  It is essential to know how much money it will cost to produce your event.

Student organizations can apply to hold fundraisers on campus to raise money for a future student organization event.

Important! Student organizations must get approval for any fundraising activity on campus.  All monies raised must be deposited directly into your student organization's account.

Funds for qualifying student organization events can be obtained through Campus Life and Leadership, ASUC, and various university departments.

Publicity Options

The materials and methods used to publicize your event depend largely on your organization's budget and how much time and effort your organization can put forward.

Options:

  • Social Networking Sites (e.g. Facebook)
  • Promotional Items
  • Local Newspaper Announcement
  • Online Posting (e.g. Craigslist, Berkeley Events Calendar)
  • Student Organization Website
  • Announcement in Class
  • Posters and Flyers
  • Tabling

Frequently Asked Questions


 How do I make my event accessible to students with disabilities?

All activities on campus must be accessible to students with disabilities, including mobility impaired and deaf and hard-of-hearing students.  Review the Event Acessibility page  for more information.

What special concerns must I take into account if I want to hold a protest or march on campus?

Campus Life and Leadership (CLL) understands that some students may choose to engage in civil disobedience.  A primary goal of CLL is to ensure that students are informed of the ramifications of their choices.  Review the Statement on Campus Activism  for more information.

What options are available for publicizing my event?

There are several options available for publicizing your event.  Please review the Publicity Options on this page.

Is there funding available for student organization events?

Yes, there are departmental grants as well as other funding available for student group events.  See Budgeting for Events for more information.
